This Privacy Policy describes how IMPI Farm Technologies Pty Ltd (“we”, “us”, “our”) collects, uses, stores, and shares information in connection with the impi mobile application for iOS and Android (the “App”).

impi is a professional farm-management field app. It is intended for authorised farm staff, consultants, and other users who have been given an account. It is not directed at children.

If you do not agree with this policy, do not use the App.

1. Who we are

We operate the App and related backend services used to authenticate users, sync farm data, store photos, deliver App updates, and receive crash and error reports.

Our application servers currently run in AWS Africa (Cape Town) (af-south-1). Some processors named in section 4 operate outside South Africa.

2. Information we collect

We collect information in three ways: information you provide, information created while you use the App, and information collected automatically by the device or by services the App needs in order to work.

2.1 Account and identity

  • Email address

  • Username associated with your account

  • Password (sent over HTTPS to sign you in; we do not store your password in the App)

  • Authentication tokens stored in the device’s secure storage so you can stay signed in

Accounts are issued by us or by your organisation. The App does not offer public self-registration.

2.2 Farm and organisational context

  • The farms and organisations you are authorised to access

  • Farm names, organisation names, and which App modules you may use

  • Which farm is selected on the device

2.3 Field and farm records you create or edit

Depending on the modules enabled for a farm, this may include:

  • Pest and disease monitoring (traps, monitoring points, observations, protocols)

  • Irrigation infrastructure and observations (pumps, valves, filters, flow meters, pressure, EC, water sources, soil moisture)

  • Field notes

  • Yield and shoot-count observations

  • Drainage and weather-station features and observations

  • Block / orchard information shown in the App

  • Map coordinates you choose when placing or moving a feature

  • Dates, notes, measurements, and similar operational data

  • The email address recorded as the creator of a record (created_by)

This is operational farm data. Other authorised users of the same farm may see records you create.

2.4 Photos

If you choose to add a photo, the App may access:

  • The device camera, to capture a new photo

  • Photos you select from the device (camera roll / photo picker) to attach to a farm record

Photos are stored on the device until they can be uploaded, then stored in our AWS object storage with the relevant farm record. Authorised users of that farm can see them in the App. Photos are used as part of the farm record, not for advertising.

2.5 Device location

If you grant location permission, the App uses your location while the App is in use (foreground) to show your position on the farm map and to let you centre the map on yourself. On Android this may include approximate location and precise (fine) GPS.

  • We do not request background location.

  • We do not use location for advertising or tracking across other companies’ apps.

  • We do not continuously upload a live GPS track of your movement.

  • Map coordinates that form part of a farm record (for example the location of a trap or field note) are coordinates you place on the map. Those coordinates are stored with the farm data and synced to our servers over HTTPS.

  •

You can refuse or later revoke location permission in device settings. The map will still work; the “my location” indicator will not.

2.6 Device storage and local databases

The App stores data on the device so it can work offline, including:

  • A local copy of farm data

  • App settings (for example map-content preferences)

  • A queue of photos waiting to upload

  • Sync status

This data remains on the device until you sign out, remove the farm from the device, uninstall the App, or we replace it during a successful sync.

2.7 Diagnostics you choose to export

A support / sync-diagnostics screen can export:

  • A JSON summary of sync and media-queue status

  • A copy of the open farm database

  • A copy of the app-meta database (including media-upload queue metadata)

These exports are created only when you choose to export them, and they are shared through the device share sheet to a destination you select (for example email to support). Treat them as sensitive.

2.8 Crash and error reports

The App includes a crash-reporting SDK (Sentry). When the App crashes or hits an unexpected error, we may receive:

  • Stack traces and error messages

  • App version, build number, update channel, runtime version, and update id

  • Device and operating-system information

  • Your account email and the selected farm identifier (farmId)

  • For map-location failures only: permission/status information and an accuracy class (precise / coarse / unknown) — not GPS coordinates, tokens, or farm-row payloads

Crash reporting is turned off in local development builds. We do not use Sentry for advertising, session replay, screenshots, or performance tracing.

2.9 App updates

The App uses Expo (EAS Update) to check for and download JavaScript and asset updates. Expo’s servers may receive technical information needed to deliver the correct update, such as IP address, runtime version, update channel, and similar device/runtime metadata. OTA updates do not include native permission or operating-system changes.

2.10 Information we do not collect

The App does not include advertising SDKs or third-party marketing analytics SDKs. We do not sell personal information. We do not use your data for third-party advertising. We do not access contacts, calendar, microphone, or SMS.

3. How we use information

We use the information above to:

  • Authenticate you and keep you signed in

  • Determine which farms and modules you may access

  • Provide the App’s farm-mapping and field-recording features

  • Sync data between your device and our servers, including while offline

  • Store and display photos attached to farm records

  • Show your position on the map when you allow location access

  • Keep the App up to date

  • Diagnose crashes, unexpected errors, and (when you export them) sync or upload problems

  • Maintain security, prevent unauthorised access, and comply with law

Legal bases (where applicable, including POPIA in South Africa): we process this information to perform the service you and your organisation contracted for, to pursue legitimate operational interests (security, support, product operation, reliability), and where required by law. Where a device permission is optional (location, camera, photos), we rely on your permission for that access.

4. How we share information

We share information only as needed to operate the App.

4.1 Your organisation and other authorised farm users

Farm records, photos, and creator identifiers are visible to other people who are authorised on the same farm or organisation, including consultants or service providers your organisation has enabled.

4.2 Our service providers (processors)

We use infrastructure and software providers to host and operate the App, currently including:

  • Amazon Web Services — authentication, APIs, databases, and file storage in AWS Africa (Cape Town)

  • Sentry (Functional Software, Inc.) — crash and error reporting, as described in section 2.8. Events are processed on Sentry’s infrastructure, which may be outside South Africa

  • Expo — build, update, and related developer services used to ship and update the App, as described in section 2.9

  • Esri ArcGIS World Imagery — map imagery. Esri receives standard network requests (such as IP address and the map tiles being viewed) in order to display the basemap

  • Protomaps / GitHub — map font assets

These providers process data on our instructions or as described in their own terms, solely to provide their service. We do not sell personal information to them, and we do not authorise them to use App data for their own advertising.

4.3 Support

If you send diagnostics or contact us, the information you send will be used to help resolve the issue.

4.4 Legal

We may disclose information if required by law, regulation, legal process, or to protect the rights, safety, or property of our users, our organisation, or others.

We do not sell personal information. We do not share personal information with third parties for their own marketing.

5. Permissions the App may request

  • Location (when in use), including approximate and precise location: show your position on the map

  • Camera: capture photos for farm records

  • Photos / media: attach an existing photo you select to a farm record

All of these are optional for basic sign-in. Some features will not work without the relevant permission. The App requests a permission in context, when you use the related feature (for example locating yourself on the map, or adding a photo).

6. Data storage, security, and retention

  • Authentication tokens are stored in the device’s secure storage.

  • Farm data is stored locally in on-device databases and synced to our servers.

  • Photos are stored locally until upload completes, then in our AWS object storage associated with the farm.

  • Network traffic between the App and our APIs, and photo uploads, uses HTTPS (modern transport encryption).

  • We use account sign-in and farm authorisation so that farm records in the App are shown to people authorised on that farm, together with industry-standard hosting security.

No method of transmission or storage is completely secure. Please keep your device and password protected and sign out on shared devices.

We retain account and farm data for as long as the account or farm relationship remains active, and thereafter as needed for backups, dispute resolution, security, and legal obligations. Crash reports are retained according to our Sentry project settings and our support needs. Local data is removed when you uninstall the App; that does not delete the server copy of farm data.

7. Your rights and choices

Depending on applicable law (including South Africa’s Protection of Personal Information Act, 2013), you may have the right to access, correct, or delete personal information, or to object to or restrict certain processing.

You can:

  • Change or revoke camera, photo, and location permissions in device settings

  • Sign out of the App

  • Ask your farm administrator to correct farm records

  • Email us at info@impifarm.com to access, correct, or request deletion of personal information we hold

Because farm records are organisational data, some requests may need to go through your employer or the farm account holder. We may need to verify your identity before fulfilling a request.

8. Account deletion

To request deletion of your impi account and associated personal information, email info@impifarm.com from the email address on the account, with the subject “Account deletion request”.

We will delete or de-identify personal information we hold about you, except where we must retain it (for example legal, security, or backup obligations), or where it is embedded in farm records that your organisation is entitled to keep (in which case we will remove or anonymise identifiers where reasonably possible).

Deleting your account does not automatically delete all farm operational data created while you used the App; that data belongs to the farm / organisation.

9. Children

The App is a business tool for authorised adult users. It is not directed at children under 18, and we do not knowingly collect personal information from children. If you believe a child has been given an account, contact us and we will delete it.

10. International users

Our company and primary application hosting are in South Africa. If you access the App from another country, your information will be processed in South Africa and may pass through other countries where our infrastructure or processors operate, including:

  • Map tile requests to Esri

  • Crash reports sent to Sentry

  • App-update checks sent to Expo

Those transfers are made so we can operate the App (hosting, maps, updates, and reliability).

11. Third-party links and services

The App displays map imagery provided by Esri, may check for updates via Expo, may send crash reports to Sentry, and may open the device share sheet. Those services are governed by their own terms and privacy policies. We are not responsible for third-party services you choose to share diagnostics with.

12. Changes to this policy

We may update this policy from time to time. The “Last updated” date at the top will change. For material changes, we will notify you through the App, our website, or email where appropriate. The updated policy applies from the last-updated date. If you do not agree, stop using the App and contact us about your account.
